Gemworld International, Inc. (“Gemworld,” “we,” “our,” or “us”) is committed to protecting privacy and being transparent about how information is collected and used. This Privacy Policy applies to the GemGuide website, GemGuide online services, the GemGuide Pricing App, and GemGuide Appraisal Software (“GAS”).

1.Information We Collect
A.Information You Provide to Us

We may collect information that you provide when you create an account, purchase or renew a subscription, register software, request support, communicate with us, or use our online services. This information may include:

  • Name and contact name
  • Company name
  • Business address
  • Email address
  • Phone and fax numbers
  • Billing, subscription, and licensing information
  • Support communications and related technical details

B. GemGuide Appraisal Software Licensing, Usage, and Diagnostic Information

When GemGuide Appraisal Software communicates with Gemworld or GemGuide online services, including services used for licensing, registration, software updates, pricing updates, diagnostics, support, security, and service reliability, the software may transmit licensing, registration, usage, and diagnostic information.

This information may include:

  • Company name, contact name, business address, postal code, phone number, and fax number
  • Software registration ID, license status, expiration dates, GemGuide or pricing expiration dates, and remaining appraisal usage
  • Workstation name, location/country settings, operating system version, program version, program path, dataset path, and connection status
  • Number of appraisal records and customer records
  • Workstation date/time, workstation time zone, universal date/time, IP address, and host/network identifiers

This information is used to manage licensing, registration, appraisal-count access, program updates, pricing updates, support, diagnostics, security, and service reliability.

GemGuide Appraisal Software does not transmit the licensed user’s appraisal customer database as part of its normal licensing, update, usage, or diagnostic communications. Gemworld does not receive, collect, or transmit the licensed user’s appraisal customer names, appraisal customer addresses, appraisal reports, appraisal photographs, jewelry descriptions, valuation details, or other appraisal customer records through this normal information exchange.

If a licensed user separately provides appraisal files, reports, screenshots, databases, backups, customer records, or other materials to Gemworld for technical support, training, troubleshooting, data repair, or related service purposes, such materials will be handled as support-related information and used only for the purpose for which they were provided.

C. Website and Online Service Information

When you use our website or online services, we may collect standard technical information such as browser type, device information, IP address, access times, pages visited, and account activity. We use this information to operate, secure, maintain, and improve our website and services.

We use collected information for business and operational purposes, including:

  • Processing purchases, subscriptions, renewals, and account activity
  • Managing software licenses, registrations, usage counts, and access rights
  • Providing software updates, pricing updates, technical support, and customer service
  • Diagnosing software, connectivity, licensing, and service issues
  • Maintaining security and preventing unauthorized use
  • Improving our software, website, and online services
  • Complying with legal obligations and enforcing applicable license terms
  1. Gmail Integration and Google API Services

Certain versions or configurations of GemGuide Appraisal Software may include optional Gmail integration. Where this feature is available and enabled by the user, GemGuide Appraisal Software allows the user to connect their own Google Gmail account for the purpose of sending appraisal-related emails and documents from within the desktop software.

GemGuide Appraisal Software requests the following Google OAuth scope for this feature:

https://www.googleapis.com/auth/gmail.send

This permission allows the software to send email on the user’s behalf when the user initiates an email action from within GemGuide Appraisal Software.

GemGuide Appraisal Software does not request permission to read, search, modify, or delete the user’s Gmail inbox. It does not access existing Gmail messages, Gmail labels, Gmail settings, or Gmail message history.

Gemworld does not collect, store, or copy Gmail inbox contents, Gmail message history, or Gmail account passwords on Gemworld servers. Gemworld does not sell, share, transfer, or use Google user data for advertising, marketing, profiling, or any purpose unrelated to the Gmail sending feature.

OAuth tokens used to connect GemGuide Appraisal Software to Gmail are stored on the user’s local Windows computer and are not stored on Gemworld servers.

Gemworld’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  1. Information Sharing

We do not sell, rent, or trade personal information, licensing data, software diagnostic data, or Google user data to third parties.

We may share information only as needed with service providers that help us operate our business, such as website hosting providers, cloud infrastructure providers, payment processors, support tools, licensing systems, and other operational vendors. These providers are permitted to use information only as necessary to provide services to Gemworld.

We may also disclose information if required by law, legal process, or to protect the rights, property, or security of Gemworld, our users, or others.

  1. Data Security

We use reasonable administrative, technical, and organizational safeguards to protect information from unauthorized access, loss, misuse, alteration, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

  1. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain licensing and subscription records, support customers, comply with legal obligations, resolve disputes, and enforce agreements.

Licensing, usage, and diagnostic records may be retained for the active life of the software license or subscription and for a reasonable period afterward for business, support, accounting, security, and legal purposes.

  1. Your Choices

You may contact us to request access to, correction of, or deletion of information associated with your account, subject to legal, licensing, accounting, security, and operational requirements.

Users may disconnect Gmail access from within GemGuide Appraisal Software where supported, or by managing third-party app access in their Google Account settings.

  1. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the Effective Date at the top of this page.
